TEAM MEMBER ASSIGNMENTS
Working as a team, there are responsibilities that each of us will need to perform to make this expedition cohesive, manageable, and as successful as possible. Looking over the list of responsibilities that follow, please select your top three preferred tasks. Then email those choices to Pat Jones (patj@reachthechildren.org). We will certainly try to give you one of those three you identify. In the end, you will have more than one responsibility and there may be multiple people assigned to certain jobs. If you do not email back your preference, please be advised that we will assign you to the job most needed. Thanks for your willingness to help!
Please note that the definitions below get adjusted to meet the needs of each particular expedition. Your team leaders will advise you specifically.
-Project Reports (form included):
You will be responsible for collecting the following information from each project site visited: pictures of site before and after volunteer work, statement of conditions before and after, precise log of work done (description and manpower hours), exact amount of money spent, any follow-up needed for the site. A form with this information outlined is provided. You will have some assistance in gathering information while in country. When we return home you will be responsible for typing the final copies up (including the pictures) and then sending them to RTC headquarters in NY. This job is greatly appreciated and is critical for the expedition.
-Personal Profile (form included):
You will be responsible for collecting personal information from the Kenyan people with whom we interact. Each member of the expedition team will hopefully get the story behind at least one native and fill out a personal profile form. They will record their name, the organization with which they are associated, and their background history. Most importantly they will be recording the impact or positive influence that RTC had on them. You will be responsible to collect those forms and consolidate them when we return home to then send into RTC headquarters in NY--also motivating the team members to get it doneJ
-Contact List
You will be responsible for collecting contact information from each project site or organization with which we come into contact. This will include project sites, schools, drivers, lodging properties, and “cultural experience” organizations/companies. It is helpful if you bring a small pocket-sized notepad. Before we leave the site make sure you talk to the head leader to get the following information: the organization’s name, leader’s name, phone number and address/email (if possible). You will type this up when you get back home and send it in to the team leaders and RTC headquarters in NY. This information is useful for future projects and valuable to RTC record keeping.
-Team Journal
You will create a team journal by recording the daily events of the team. You can write it in a list/bullet format, if you choose. You will include the “highs” and “lows” of the day (we will discuss this during the nightly meetings). It is nice—as well as helpful—to ask [at least one] team member each day to add an entry. Please plan to bring a binder to keep all the entries together. When we return home you will type up the entries and send a copy to each of the team members so we will all be able to remember the many amazing things we shared during this expedition!
-Quote Recorder
Each night and throughout the day you will be recording any thought provoking, humorous, or touching quote said by team members or those whom we served. It is convenient if you bring a separate small notepad. These are really fun and often insightful to look back on. It’s definitely beneficial if you have a good memory J! When we return home you will type up the quotes and distribute a copy to each team member.
-Water Person
You will be responsible for keeping up with the team’s water status. You will distribute the appropriate amount of water to each team member, and will let the leaders know when we need to buy more. It is critical for everyone to remain hydrated while working in Africa. We want to be conservative with our resources, but health & safety are our priority. It is recommended that each person consume 3 ltr of water per day. Tooth-brushing also needs to be done with bottled water. We appreciate the water person having an idea that everyone is staying hydrated.
-Photographer
You will be in charge of taking team photos throughout the entire expedition. You will take pictures of the projects, of the beautiful countryside, the gorgeous African people, and anything else that catches your eye! It would be nice if you had prior experience in this field and have an appropriate camera. Please note it is vital for you to know when it is appropriate to be taking pictures or working-- this job does not exclude you from working. And as with anyone else taking pictures it is critical that you are respectful to the people first and foremost. Always ask permission to take photos of people and personal property. The pictures you take will be distributed to the rest of the team at the conclusion of the expedition.
-Post Expedition Picture Gatherer
After returning home, you will be responsible for gathering all the pictures taken by team members during the expedition. You will then consolidate the collected photos and send them out to all the team members—typically via an internet album of sorts or on a disk. It would be helpful if you are computer oriented and organizedJ. This job may be in addition to the photographer if they have the experience needed for such compilation. Please let us know if you do.
-Nightly Devotional
You will be responsible for organizing a short devotional at the start of our nightly team meetings. You may assign people to specific nights before we leave home or while in country. It only needs to be a few minutes and can consist of anything inspirational or motivational.
-Time Keeper
You will be in charge of keeping time for the team! You will record the exact time spent at project sites working. You will also notify the team members of the planned times for the upcoming day (such as when they need to be down for breakfast, when the vans leave, etc). You will also assist the project reporter in recording needed info (such as donations left at the locations, etc).
-First Aid
You will preferably be a nurse, ENT, CERT qualified, or have had medical experience. That makes you the ‘go-to’ person when we have health concerns. You will also be asked to bring a small first aid kit that can travel with the team. (Note: each team member should have a small, personal first-aid kit of sorts for themselves.) It’s most desirable if there are 3 total so each van can have one that is current. Your help organizing that is important and appreciated.
-Hotel Liaison
You will be responsible to communicate daily with the hotel management to keep them informed of the team’s plans involving them. You will let them know when we will be leaving for projects + returning the following day so they will be able to have breakfast and dinner prepared. If lunches are prepared, you will also need to make sure they get on the vehicles before we take off!
-Team Gather/Organizer
You wake up on time and are responsible to make sure we have all team members present at the necessary times. You might need to go and knock on doors in the morning to make sure people are up. You will lead the team count off on each van before we head out at any time each day and report to the team leaders to make sure all are accounted for. You will also be responsible to make sure we have all teaching materials in the necessary vans before we leave for the day to the project sights.
-Reunion Planner
You will be in charge of planning the team reunion after we’ve returned home! You will need to have everyone’s contact information, plan the event and delegate responsibilities for it. It’s always fun!
-Donation in Kind Organizer
While in country you will be responsible for organizing and recording the donations in kind that each member brought. You will need to report that information to the team leaders. You will then help figure out to which site the donations would be most appropriate and which should be dispersed by the RTC Kenya office directly--then help make that happen.
-Team Evaluation Administrator
You will be responsible for passing out and collecting the team evaluations. This is often best done during our reflective time on our excursion to the Maasai mara at the expedition’s conclusion, but can also be accomplished at the airport the night we leave Kenya. You must collect every team member’s evaluation before returning home and not let anyone get off the plane without them handing it to you! It is then your job to put them together in a big envelope and mail them to RTC headquarters in NY without anyone on the team reviewing them. Also, you will likely be asked to provide additional service in other areas because this job is not too demanding.
